How long we keep your data
- Financial and tax records (invoices, payment records): 6 years, in line with HMRC requirements.
- Training and course records: retained in line with DVSA's published retention schedule, currently 2 years for paper CBT/DAS records (including CBT certificate copies), and 3 years for electronic CBT certificate return records, plus a further 2 years in anonymised form.
- Complaint correspondence: 6 years from the date of last related activity, in line with the general limitation period for civil claims under the Limitation Act 1980.
- Promotional photos/videos: retained until consent is withdrawn.
Where we hold the same individual's data for more than one purpose, each category is retained only for as long as its specific purpose requires — we do not apply a single blanket retention period across all data we hold about you.
Your rights
- Under UK GDPR, you have the right to:
- Access the personal data we hold about you
- Request correction of inaccurate data
- Request erasure of your data (this is not an absolute right — see below)
- Request restriction of processing
- Object to processing based on legitimate interests
- Data portability, where applicable
On erasure: we will delete data where we have no continuing lawful basis to keep it (for example, promotional photographs once consent is withdrawn). Where we are required to retain data — for regulatory (DVSA), tax (HMRC), or legal claims purposes — we will explain which data is retained, under which basis, and for how long, rather than delete it, in line with Article 17(3) UK GDPR.
To exercise any of these rights, contact us at admin@valemoto.co.uk.
Complaints
If you're unhappy with how we've handled your data, please contact us in writing at admin@valemoto.co.uk. We will acknowledge your complaint within 30 days and respond substantively within the statutory period, in line with Section 103 of the Data (Use and Access) Act 2025.
If you remain unsatisfied after our response, you have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.

- Third parties only where required — for example, DVSA for course certification, or our accountant/bookkeeper for financial administration — and only to the extent necessary
